MALTBY VILLAGE HALL HIRE INFORMATION FOR ALL HIRERS
Opening Times
Maltby Village Hall is available to hire 7 days a week between the hours of 8.00 a.m. and 10.00 p.m.
Hire Costs and Bookings
All Hirers must complete a Hiring Agreement, prior to hall use.
• Non-Resident Rate - £12.00 per hour
• Maltby Village Residents - £10.00 per hour
• A deposit of at least one third of the cost of hire is to be paid in advance, with the deposit being paid on the signing of the Hire Agreement
• Additionally, a Special Deposit of £50 is required when the hall is hired out specifically for a party.
Provided that no damage or loss has been caused to the hall and contents the Special Deposit will be refunded with 28 days, reparation costs include hall cleaning inside and out if left in a mess
Bookings are confirmed when full payment has been received.
Regular re-occurring bookings are invoiced at the end of an agreed period.
No Hirer shall sublet the Maltby Village Hall. This is a breach of your Hire Agreement.
Adults must fully supervise children at all times in or near the vicinity of the Hall.
During hire any breakages in the hall, accidental or otherwise must be reported and paid for if necessary.
Cancellations
The repayment of the fee is at discretion of the Village Hall
Maltby Village Committee reserves the right to cancel a booking if the Hall is needed for any electoral purpose. All hiring fees paid will be refunded in full recompense, notice of cancellation will be given in advance.
Access to the Hall
This will be agreed when you make your booking including access to the halls key box facility.
Consumption of Alcohol
When alcohol is being sold, the Hirer must apply to Stockton Borough Council for a Temporary Event Notice (TEN). The Hirer shall obtain the written consent of Maltby Village Hall before giving the licencing authority a TEN. Failure to do so will result in cancelation of the hire without compensation because there is a limit on the number of TENs which can be granted annually for any premises.
Your Safety
Please familiarise yourself with the venue, its facilities, the location of emergency exits, first aid equipment and the buildings fire extinguisher/fire blanket. Keep all exits clear and available for use.
Do not overload sockets and avoid trip hazards such as trailing wires.
In the storage cupboard please do not over stack chairs or use them to reach heights. It is recommended that chairs are carried one at a time.
Bouncy castles must not be used anywhere inside or outside the hall.
A copy of the halls risk assessment is available upon request. Business hirers must have their own valid risk assessment and insurance in place. For example, fitness classes and children activity groups.
Safeguarding Children, Young People and Vulnerable Adults
Maltby Village Hall will ensure that all the necessary hirers will have proper measures in place including DBS checks, insurance, and risk assessments in accordance with the Safeguarding Vulnerable Groups Act 2006 and any subsequent legislation. When requested, you must provide us with a copy of your Safeguarding Policy and evidence that you have carried out relevant checks through the Disclosure and Barring Service (DBS).
Hirers must comply with our Policies; a copy is available in the Hall.
Smoking and Vaping.
These are forbidden anywhere inside the hall or in the immediate vicinity of the hall.
Naked Flames.
Fireworks and naked flames and are not permitted, other than candles on a birthday cake.
Accidents
All accidents must be recorded in the accident book which is in the kitchen wall unit with the hall's emergency first aid kit. Accidents must be brought to the attention of the hall management asap.
Telephone
There is no phone in the building. It is recommended that you bring your own, charged, mobile phone.
Kitchen Use
Children are not permitted in the kitchen area.
Use all appliances correctly and ensure they are switched off at mains after use and left clean and empty. Food should not be stored in the fridge beyond the specific hire period.
After Your Event
Hirers are responsible for leaving the premises and surrounding area in a clean and tidy condition, properly locked and secured unless directed otherwise. We ask that you leave the hall as you would wish to find it. Please dispose of all rubbish in the outside bin, wipe down tabletops before stacking them away in the storage cupboard, hoover/mop the hall floor as needed. Wipe down kitchen surfaces and wash and put away all crockery/cutlery.
Cleaning equipment is available – broom, hoover, mop, cleaning cloths, surface cleaners and washing up liquid.
Leave any used tea towels and table clothes in the kitchen ready for collection by the hall.
Please ensure that any temporarily moved items from their original positions are correctly replaced.
When You Leave the Hall
Unless directed otherwise please leave the hall locked and secure. All internal doors and windows are closed. Please check that all electrical appliances, water taps, wall heaters and lights are turned off.
Noise - Please Consider our Neighbours
The Hirer should ensure that the minimum of noise both on arrival and when vacating the hall particularly late at night and early in the morning.
